Planning your attendance FAQ
When & where is the congress?
The Congress will take place between 8-10 September 2022 in Cambridge, UK. The congress venue is the West Road Concert Hall.

What time does the Congress start?

Doors open from 7:45am on Thursday 8 September, with the Opening Ceremony beginning at 8:45 in the Concert Hall. Please refer to the programme for full details.

Delegates should collect their Congress name badge, lanyard and printed programme from the Reception Desk on first arrival.  

I can no longer attend the Congress - what should I do?

Please inform us as soon as possible if you can no longer attend the Congress, by emailing epa2022@psychepi.org

You may transfer your ticket to another delegate if you can no longer attend, as detailed in our refund policy. If you are not able to attend the Congress for any reason, please make sure you have read our refund policy here.  

Is there a dress code for the Congress dinner?

The Congress dinner will take place in Selwyn College Old Hall. We are recommending a smart-casual dress code for this event, so please avoid wearing shorts, t-shirts, trainers, flip-flops and so forth. 

How can I get help during the Congress?

Please check the printed programme for complete information about the Congress. If you still require help, please come to the Reception Desk where we will assist you with your enquiry.  

Will the Congress be recorded or streamlined online?

The congress will be a face-to-face meeting, and we will not offer an online or hybrid conference format.

We will be live streaming our Mental Health Question Time event for free to a global audience on Friday 9 September from 16:45 (BST).  

We are not streaming or recording any other Congress sessions. 

What are the travel, visa & COVID-19 requirements for visiting the UK?

I need an invitation letter from the Congress to allow me to attend

We can issue delegates with an invitation letter from the congress if this is required for visa or other purposes. We can only issue invitation letters to registered delegates. If you require an invitation letter, please register for the congress first and request an invitation letter by contacting epa2022@psychepi.org

Registration & accommodation FAQ
What payment options do you offer during registration?

Our registration system, Eventflo, accepts all major debit and credit cards including Visa, Mastercard and American Express. Eventflo uses Stripe, a secure credit card processing system to handle payments. You will also have the option to pay using Google Pay or Apple Pay during checkout. 

We can also arrange for bank transfer payments. If you require an invoice to be paid by bank transfer from a personal or institutional account, these details can be found during the registration process (and below). If you wish to pay by bank transfer, please proceed to registration. After booking your place, you can return to your Eventflo account where a downloadable invoice will be available. This will include our bank transfer details and can be used to arrange payment. We will send payment reminders to delegates on unpaid fees. Delegates who have registered but not paid before the end of the earlybird period will be charged the full standard rate (i.e. £100 more than the earlybird rate). Delegates who arrive onsite without a settled invoice will be charged the onsite registration fee (i.e. £200 more than the earlybird rate) and will be required to make payment onsite before entry to the congress.

What conference management app are you using?

We use Eventflo conference software to manage abstract submission and registration, as well as your in-conference experience. 

Delegates will be asked to create an Eventflo account the first time they use it. You can use this to manage your abstract submissions and registration.

Will I receive a refund if I can no longer attend due to COVID-19?

You can read about our refund policy here. We offer a partial refund before and including 30 June 2022, but no refunds after that point to ensure the viability of the congress. We allow name changes to paid places as detailed in our refund policy

Do you have any additional accommodation at Selwyn College?

Our accommodation offer at Selwyn College is in high demand and has now sold out. If you still require accommodation in Cambridge, we recommend you check our Eventflo site for any last minute availability, or visit the University Bed & Breakfast service for other options.  

Are registration fees waived for delegate-led symposia?

No. Unfortunately we are unable to waive registration fees for delegates who are presenting as part of a delegate-led, themed symposium. All presenting delegates must complete registration and payment by 7 August 2022 (final deadline) to ensure their abstract is included in the final congress programme.   

I have paid for my registration, but it is still showing on the Eventflo site as "unpaid"

Once you have paid for your registration, it may take a few days for this to show up as “PAID” on the Eventflo management system. Please check back a few days later.  

If your status is still showing as unpaid two weeks after payment, please contact us and we will investigate this issue. 

I have a different problem with registration or booking

We use Eventflo conference software to manage abstract submission, registration and your in-conference experience.

Abstract & presentation FAQ
How should I prepare my presentation?

Please see our latest presentation guidelines for the category of presentation you are in (symposia, oral presentation, rapid-fire or poster). 

Please remember to bring your presentation with you on a USB stick, and following the guidelines above on arrival. 

Can I present my work at the EPA Congress remotely?

Our 20th Congress is an in-person only event. As such, any delegate offered an oral or poster presentation will be expected to present their work in person.

If you cannot attend the event at short notice due to COVID-19, travel disruption or other serious issues, we have issued contingency guidance in our presentation guidelines. These include pre-recording your presentation or transferring your registration and presentation to another nominated delegate. Delegates should also consult our Refund Policy in the event that they cannot attend. 

What are the deadlines for abstract submission and registration?

The deadline for abstract submission has now passed. Registration is open until the Congress. Please see our key dates page for full details.

What is your definition of an Early Career Researcher (ECR)?

For the purposes of submitting abstracts for consideration for the ECR Keynote Prize, Rapid-Fire Oral presentations or for the poster prize, we define an Early Career Researcher as a current student or a postdoctoral researcher within 5 years of completing their doctoral degree (from successful viva date). Proof of ECR status will be requested. 

When will I find out of my abstract submission has been accepted?

Delegates should now have been notified about the outcome of the abstract submission process. Please contact us if you have not heard about your abstract. 

Health, Safety & Security FAQ
What are the travel, visa & COVID-19 requirements for visiting the UK?

What measures will be in place to minimise risk of COVID-19?

Our main priority is the health and safety of all our delegates. We will therefore put in place several measures to reduce the risk of COVID-19 during the Congress. These include:

  • Request that all delegates are fully vaccinated*
  • Provide hand-sanitising stations throughout the congress venue & social spaces
  • Wipe down all presentation devices (laptops, keyboards, microphones, etc) at the end of each day
  • Require that any delegate who becomes unwell or tests positive for COVID-19 stay away from the Congress venue or other delegates. Should you experience symptoms of COVID-19 during the Congress, please also follow prevailing national guidance.  
  • Encourage delegates to wear face masks during congress sessions (unless presenting)
  • Have facilities to allow outdoor coffee breaks, lunch and drinks receptions (weather-permitting)
  • Follow the enhanced safety measures put in place by the congress venue

What happens if the EPA Section has to cancel or postpone the congress due to COVID-19?

The Congress will go ahead as a face-to-face meeting in Cambridge in September. The global and national situation with respect to COVID-19 is now very different to how it was in 2020, when we previously had to postpone the congress. We now have access to effective vaccinations, and restrictions on social mixing, large gatherings and international travel have been lifted. The latest strains of the virus also appears to be milder for many people. The Congress will also take place at the end of summer when rates of infection will be low and some outdoor social distancing can be maintained. 

We do not envisage any need to cancel or postpone the congress, but we will carefully monitor the situation in the run-up to the congress. We would only be required to cancel or postpone the congress in the event of national government restrictions on large gatherings or the free movement of people (i.e. lockdown measures). In the unlikely event of this happening, we will contact all delegates about their options if the congress needs to be postponed.      

Security measures

All delegates will be required to wear their Congress lanyard and name badge while at the main Congress venue or on the grounds of Selwyn or Darwin College during our social programme.  These can be collected from our Reception Desk at the Congress venue on arrival. No admittance to our venues will be possible without your Congress lanyard & name badge.

Please note that while West Road Concert Hall will not be open to the public, neither the venue nor the Congress organisers shall be liable for any loss, damage or theft of personal belongings while onsite, or at any venue as part of the official Congress programme. Delegates are responsible for the safety of their own belongings at all times.

Other FAQ
Are sponsorship opportunities available?

If you are interested in sponsorship, please get in touch with us on epa2022@psychepi.org. We have a number of sponsorship packages available ranging from branding on our website to sponsor stands and displays at the congress.

We carefully consider all sponsorship requests to ensure they are relevant and complementary to the delegates of the EPA Section of Epidemiology & Social Psychiatry. 

Who is organising the Congress?

The Congress is being organised by EPA Section of Epidemiology & Social Psychiatry. Professor James Kirkbride, UCL, London, UK, has agreed to be the Local Organising Host on behalf of the EPA Section.

The current Chair of the EPA Section is Professor Arnstein Mykletun, Norwegian Institute of Public Health, Oslo, Norway.

We have contracted Suzy Howes and Associates to provide professional conference organisation support for this meeting.
